What does this policy apply to?
This policy covers information Les Ormes holds about you, however, we obtain it. We collect information at different points during our relationship with you for example: when you browse our website, become a Sports or Swim Academy member and book accommodation or activities, you call or visit our reception, you sign up to our marketing communications and/or to enter competitions or interact with us on social media.

We collect different information depending on what you want to do and how you interact with us - browsing our websites, searching for availability for accommodation, sports and activities. We need to tell you what we use your information for and the legal grounds we have to use it.

If you book any of our products and services, we may need the following information as a minimum: your name, email address, postal address, telephone number, date of birth, details of other people in your party, vehicles details, the venue you are staying at (Resort or de la Mer), arrival and/or departure dates, number and type of accommodation, sport or activity required, arrival method and time and financial details for payment (held by an accredited PCI compliant partner).
Before undertaking certain sports or activities, we may take necessary information with regard to health and skill level in the interest of health and safety.
What is the data used for?
All of the information we request from you is needed in order to book and provide your holiday, sports booking or activity. We cannot provide your holiday, sports booking or activity without it.

Use of CCTV on site
Why is the data collected?
We have CCTV in various areas included internal sports area of Les Ormes that continuously record.
What is the data used for?
We use CCTV footage to assist in monitoring and maintaining security and health and safety within Les Ormes. Where necessary, this footage may also be shared with the authorities for law enforcement purposes and to exercise and defend our legal rights.

What is the data collected?
If you report an accident or injury to us or receive treatment onsite we may need to record such incidents or treatment.

We are required by law to keep a record of accidents and treatments.
Contacting Reception
Why is the data collected?
When contacting reception, our staff may need to take certain pieces of information to further your enquiry or resolve your complaint, these may include name, email address, postal address, phone number and nature of your enquiry or complaint.
What is the data used for?
This information is used to resolve the enquiry, or progress a complaint as appropriate. This will be recorded into the relevant recording systems. The information is also used in case there is a complaint about your holiday, sport or activity. The information will also be used to enable us to learn and continually improve the quality of the service or products we provide.
What legal grounds do we have for collecting it?
For the legitimate interests of Les Ormes to provide customer services and provide you with an appropriate response to your query. We may also use this information in order to exercise and defend our legal rights.
Building profiles and targeting

However, in every marketing email message we send you, we will give you the opportunity to unsubscribe from our mailings altogether.
We do not provide your personal information to external organisations for their own marketing purposes without your explicit consent.
Shared memberships
Members are permitted to share their membership booking rights with other members, where this occurs both members have given explicit consent to use their details. Either of the parties can withdraw that consent at anytime online.
Hot Jar
We use Hotjar in order to better understand our users’ needs and to optimize this service and experience. Hotjar is a technology service that helps us better understand our users’ experience (e.g. how much time they spend on which pages, which links they choose to click, what users do and don’t like, etc.) and this enables us to build and maintain our service with user feedback. Hotjar uses cookies and other technologies to collect data on our users’ behavior and their devices. This includes a device's IP address (processed during your session and stored in a de-identified form), device screen size, device type (unique device identifiers), browser information, geographic location (country only), and the preferred language used to display our website. Hotjar stores this information on our behalf in a pseudonymized user profile. Hotjar is contractually forbidden to sell any of the data collected on our behalf.

How long do we keep your information?
We hold your personal information for as long as is necessary to provide services to you unless there is a requirement to hold that information for a longer period – for example, our insurers require us to hold certain information for certain periods of time, or we may have been subject to a statutory obligation to keep hold of your information.
